Pearl Elite Tours – Terms & Conditions

These Terms & Conditions apply to all tours and travel services booked through Pearl Elite Tours. By signing the booking form, making any payment, or confirming a booking, the guest confirms that they have read, understood and accepted these Terms & Conditions.

1. Booking & Confirmation

A booking is confirmed only after receipt of the applicable advance/payment and subject to availability.
Payment of an advance indicates an intention to travel and does not guarantee confirmation of flights, hotels, visas or other services until confirmed by Pearl Elite Tours.
The person making the booking is responsible for ensuring that all travelers in the booking accept these Terms & Conditions.
Guests must provide accurate personal, passport and contact details.
Valid government-issued photo ID is required for domestic travel. A valid passport and visa are required for international travel.

2. Tour Packages & Itinerary

Pearl Elite Tours may arrange hotels, transportation, sightseeing, meals, flights and other travel services through third-party service providers.
Itineraries, hotels, transport and sightseeing may change due to availability, weather, operational requirements, government restrictions or circumstances beyond our control.
Any major unavoidable change will be communicated to the guest as soon as reasonably possible.
Sightseeing described as a panoramic view/photo stop does not necessarily include entry into the attraction.
Personal deviations from the confirmed itinerary are subject to availability and additional charges.

3. Payments

Booking Payment Policy

At the time of Booking: 50% of total package cost

Before 30 days of Travel time : 75% of package cost

Before 15 days of Travel time: 100% of package cost

4. Cancellation by Guest

45 days or prior to travel date: 50% of the package

Before 30 days to travel date: 75% of package cost

Before 15 days of travel date: 100% of package cost with No Refund.

*Actual cancellation charges may be higher where airlines, hotels, cruises, visa authorities or other suppliers impose additional/non-refundable charges. The specific cancellation policy mentioned in the booking confirmation/invoice will prevail where applicable.

Cancellation requests must be submitted in writing through the registered email/contact details.
No refund will be made for unused services, missed sightseeing, meals, hotel nights, flights or other services unless specifically agreed or recoverable from the supplier.
Refund processing, where applicable, will be made after deduction of applicable charges and supplier penalties.

5. Cancellation by Pearl Elite Tours

Pearl Elite Tours may cancel, postpone, reschedule or modify a tour due to insufficient bookings, operational reasons, government restrictions, supplier cancellation or other circumstances beyond reasonable control.

Where Pearl Elite Tours cancels a tour, the guest will generally be entitled to the amount actually recoverable/refundable from the suppliers, after deduction of applicable non-refundable charges, taxes, visa fees and other expenses, as applicable.

6. Force Majeure

Pearl Elite Tours shall not be responsible for circumstances beyond its reasonable control, including natural disasters, extreme weather, floods, earthquakes, epidemics/pandemics, war, civil unrest, strikes, government restrictions, political disturbances, road closures, flight/train cancellations or delays, or cancellation/suspension of services by suppliers.

In such situations, itinerary changes, postponement, cancellation or additional costs may apply. Refunds, if any, will be subject to amounts recovered from the relevant suppliers.

7. Flights, Trains & Transport

Flight, railway and transport services are subject to the respective operator's terms and conditions.
Pearl Elite Tours is not responsible for delays, cancellations, missed connections, baggage loss, seat allocation or schedule changes caused by airlines, railways or transport providers.
Any additional expenses resulting from delays, cancellations or missed connections shall generally be borne by the guest unless otherwise agreed.
Guests are responsible for their personal belongings and baggage during the journey.
Guests must follow all safety instructions and applicable rules of the transport provider.

8. Hotels & Accommodation

Hotels are provided according to the confirmed package and availability.
Hotel rooms are generally based on the booked occupancy, such as double/twin or triple sharing.
Hotel check-in/check-out times are determined by the respective hotel.
Early check-in, late check-out, room upgrades and additional facilities may involve extra charges.
Any damage caused by a guest to hotel property will be payable by the guest.
Pearl Elite Tours may provide an alternative hotel of similar category where the confirmed hotel becomes unavailable.

9. Meals

Meals, where included, will be provided according to the package itinerary.
Menus and restaurants may vary depending on destination and availability.
Special dietary requirements must be informed at the time of booking and may involve additional charges.
No refund will normally be provided for meals not consumed by the guest.

10. Travel Documents & Visa

Guests are responsible for carrying valid passports, visas, permits, identity documents, insurance and other required travel documents.
Visa approval is solely at the discretion of the concerned embassy/consulate/authority.
Pearl Elite Tours may assist with visa documentation but does not guarantee visa approval or processing time.
Visa fees, appointment charges and other applicable expenses are generally non-refundable.
Guests must check their passport, visa and travel documents for accuracy before departure.
Any loss or damage to a passport or travel document and related expenses shall be the guest's responsibility.

11. Travel Insurance

Guests are strongly advised to obtain suitable travel insurance, including medical, accident, baggage and cancellation coverage, particularly for international travel.

Pearl Elite Tours may assist in arranging insurance but is not responsible for the approval or settlement of insurance claims.

12. Health & Special Assistance

Guests should ensure that they are physically fit to undertake the selected tour.
Any medical condition, special assistance requirement or mobility limitation should be disclosed at the time of booking.
Special arrangements are subject to availability and may involve additional charges.
Guests are responsible for their medical expenses during the tour unless covered by their insurance.

13. Personal Belongings

Guests are responsible for their passports, money, jewellery, electronics, baggage and other personal belongings.

Pearl Elite Tours shall not be responsible for loss, theft or damage to personal belongings unless directly caused by proven negligence or as otherwise required by applicable law.

14. Complaints

Any complaint regarding a hotel, transport provider, restaurant, sightseeing service or other supplier should be reported immediately to Pearl Elite Tours so that reasonable efforts can be made to resolve the issue during the tour.

Complaints relating to a service should preferably be submitted in writing with supporting documents.

15. Conduct & Right to Terminate Services

Guests must follow applicable laws, hotel rules, transport rules and reasonable instructions provided during the tour.

Pearl Elite Tours may discontinue services for serious misconduct, unlawful activity, threatening behaviour or conduct that affects the safety or comfort of other travelers. Any additional cost arising from such termination shall be borne by the concerned guest, subject to applicable law.

16. Privacy & Communication

Personal information provided by guests may be used for booking, payment, travel documentation, customer support and other legitimate travel-related purposes.

Pearl Elite Tours may share necessary information with airlines, hotels, transport providers, visa authorities, insurers and other service providers for fulfilling the booking, subject to applicable law and privacy requirements.

17. Photography & Marketing

Where guests voluntarily participate in photographs or videos during tours, Pearl Elite Tours may use such content for legitimate promotional purposes, subject to applicable law and reasonable respect for guest privacy.

18. Liability

Pearl Elite Tours acts as a travel organizer/agent and facilitator and works with independent airlines, hotels, transport companies, guides and other service providers.

Pearl Elite Tours will make reasonable efforts to provide the services confirmed in the booking but shall not be responsible for losses, delays, cancellations, injuries, damages or additional expenses caused by third-party suppliers or circumstances beyond its reasonable control, except to the extent required by applicable law.

Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot legally be excluded or limited.

19. Refunds

Refunds, where applicable, will be processed after deduction of cancellation charges, supplier penalties, taxes, visa fees and other non-refundable expenses.
No refund is normally payable for unused or voluntarily missed services.
Refund timelines depend on receipt of funds from the relevant suppliers and banking/payment procedures.
Refunds will normally be made to the original payer/account or by another agreed payment method.

20. Governing Law & Jurisdiction

These Terms & Conditions shall be governed by the laws applicable in India. Subject to applicable law, disputes shall be subject to the jurisdiction of the competent courts in New Delhi, India.

Guest Acceptance
